Merge duplicate tenant records

Duplicates happen. A tenant applies with one email and signs with another, or someone gets added twice by hand. Merging folds the duplicate into the record you want to keep.
- From Tenants, open the profile you want to get rid of.
- Click Merge tenant.
- Search by name or email for the record to keep, and select it.
- Review What will happen. The duplicate is marked Merging (deleted) and the one you keep is marked Surviving (kept).
- Click Merge tenants.
What moves: the duplicate’s leases and notes. If only the duplicate has a portal account, the account moves to the kept record too.
What doesn’t move:
- Documents uploaded directly to the duplicate’s profile. They’re deleted along with it, so download them first and upload them to the record you’re keeping.
- Screening requests. They stay with the application they came from, but they won’t be linked to the kept profile.
- Conversations. Message threads belong to the lease or the tenant’s portal login, not the profile, so the merge leaves them where they are.
Two portal accounts can’t be merged. If both records have a portal account, LeaseRooster won’t merge them. One of the two has to give up portal access first, or contact [email protected].
One thing to check: a merge can’t be undone. Before you confirm, read the name on the card marked kept.
